Job Title: Remote Events Coordinator (100% Work From Home)

Salary: $2,500 – $3,000 USD monthly salary (Paid directly in USD)
  
Schedule: Monday through Friday, 9:00 AM – 6:00 PM US Eastern Time / ET, with a 1-hour lunch break.

About the Role

 

Our Client is seeking a hands-on, proactive Event Operations Manager to own end-to-end logistics for their client-facing events and travel program from the ground up, supporting over 100 events per year. As a foundational operations hire, this professional will manage flight bookings, accommodations, event calendaring, client dinners, trade show booth logistics, partner billing, and client gifting. Operating full-time during US Eastern hours—with regular travel to the United States for on-site event execution—this leader will partner closely with Sales Operations to deliver a seamless client-facing presence.

 

Key Responsibilities

 

End-to-End Travel & Event Logistics Operations

 
  • Owns comprehensive travel coordination for team members attending 100+ annual events, booking flights, hotels, and rental vehicles well in advance of target dates.

  • Maintains a master rolling calendar of all nationwide events, tracking booking timelines, confirmation codes, and schedule adjustments while issuing detailed pre-event agendas to attendees.

  • Oversees trade show booth shipments, vendor installations, on-site setup, and breakdown supervision to guarantee brand alignment.

 

Client Experience, Dinners & Activity Execution

 
  • Serves as the central point of contact for all event-based client touchpoints, planning client dinners, networking outings, and special activities from venue selection through execution.

  • Evaluates restaurants, venues, and activity logistics, balancing location convenience, guest experience quality, and budget constraints.

  • Leverages modern event tools (e.g., Luma, Partiful) to design invitations, manage RSVPs, and coordinate guest communications.

 

Partner Billing, Financial Reconciliation & Gifting

 
  • Coordinates directly with partner organizations and co-sponsors regarding shared event logistics, invoicing, and cross-company billing arrangements.

  • Maintains a detailed expenditure ledger for all travel and event costs, conducting precise financial reconciliations with internal accounting teams.

  • Manages ad-hoc team and client gifting programs end-to-end, including vendor sourcing, ordering, and ensuring prompt delivery.

 

Qualifications, Skills, and Key Competencies

 

Required Qualifications

 
  • Logistics & Event Operations Experience: 3+ years of hands-on experience in event planning, travel coordination, executive operations, or client experience management.

  • U.S. Travel Authorization: Current authorization to travel to the United States (e.g., valid U.S. visitor visa or visa-free entry eligibility) and the ability to maintain travel eligibility for regular on-site event support.

  • Multi-Booking Execution & Organization: Demonstrated capability to manage complex concurrent bookings, master calendars, and shifting schedules without dropping operational details.

  • Written & Communication Skills: Exceptional written English skills, capable of composing clear agendas, vendor briefs, and team updates.

  • Schedule Alignment & Flexibility: Availability to work Monday through Friday, 9:00 AM – 6:00 PM US Eastern Time (ET), with flexibility to travel internationally as required by event schedules.

  • Remote Infrastructure: Dedicated quiet home office, personal computer, professional headset, and high-speed, reliable internet connection.

 

Preferred Qualifications

 

  • Prior experience in high-growth startup environments, PropTech, FinTech, InsurTech, or commercial real estate.

  • Familiarity with modern event platforms such as Luma, Partiful, or equivalent RSVP management tools.

  • Experience negotiating vendor agreements, handling co-sponsor billing, and managing operational budgets.
