US-Based Klaviyo/CRM Specialist for Shopify Art Brand
Art of Yost is an established artist brand preparing for an art show in Tampa on October 15, followed by Miami Art Week/Art Basel.
We are rebuilding the brand’s digital customer journey across Shopify, events, QR codes, collector inquiries and email marketing.
We need a US-based Klaviyo/CRM specialist to establish the brand’s first properly structured CRM system.
Art of Yost does not currently have a Klaviyo account or another active CRM platform.
The selected specialist will help create and configure
a client-owned Klaviyo account, connect it to Shopify and build a clean foundation that the artist can continue using beyond these events.
This is not intended to be a temporary Tampa-only setup. The immediate priority is Tampa readiness, but the system must also support Miami/Art Basel, future events, ongoing ecommerce and long-term collector relationship management.
Project team and ownership
You will collaborate with:
- Bradford, who leads strategy, project coordination and approvals
- ECOMPLIX, which owns the Shopify UX/UI, pages, forms, fields and Shopify-side integration hooks
- An analytics specialist, who owns GA4, Search Console, event measurement, source taxonomy and validation
- Alex Yost and the Art of Yost team, who provide approved artwork, customer and brand information
You will own the Klaviyo platform setup, data structure, consent requirements, segmentation, routing, core automations, testing and documentation.
Phase 1 objectives
The initial engagement should:
- Create a clean, client-owned Klaviyo environment
- Connect Klaviyo correctly to Shopify
- Organize existing customers and future leads
- Distinguish collectors, print buyers, original-art prospects, VIPs and event leads
- Capture the artwork, event, QR code and campaign source connected to each lead
- Support Tampa’s website, QR and inquiry journeys
- Prepare the system for Meta and Instagram lead capture
- Establish core lifecycle automations
- Ensure the structure can support Miami/Art Basel and future growth
- Leave Art of Yost with clear documentation and control of the system
Required scope and deliverables
1. Klaviyo account creation and governance
- Guide the creation of a client-owned Klaviyo account
- Confirm the appropriate initial Klaviyo plan
- Establish user access and permission levels
- Connect the appropriate sending domain
- Configure sender information and basic account settings
- Confirm that Art of Yost retains ownership and administrative control
- Document account access, integrations and ongoing responsibilities
2. Shopify integration
- Connect Klaviyo to the existing Shopify store
- Confirm that customer, subscriber, product, browsing, cart, checkout and purchase data sync correctly where supported
- Review existing Shopify customer and subscriber records
- Recommend a safe import and cleanup approach
- Prevent unnecessary duplicate profiles
- Confirm how Shopify forms built by ECOMPLIX will pass information into Klaviyo
- Coordinate required fields and technical handoffs with ECOMPLIX
3. CRM data structure
- Develop a practical profile-property and segmentation framework that can distinguish:
- Original-art collectors
- Original-art prospects
- Print customers
- Premium-print customers
- VIP or collector-list members
- Tampa leads
- Miami/Art Basel leads
- Website leads
- QR-generated leads
- Meta and Instagram leads
- Previous customers
- Prospects interested in a particular artwork or collection
- Purchase, inquiry and engagement history
- The system should capture relevant information such as:
- Contact information
- Consent status
- Customer or prospect type

4. Lists, segments and consent
- Create the required lists and dynamic segments
- Establish clear list-entry rules
- Recommend when to use lists versus profile properties or segments
- Configure email-consent requirements
- Review form and disclosure language for appropriate consent capture
- Address existing contacts whose marketing-consent status is unclear
- Document suppression, unsubscribe and data-retention practices
- Identify any compliance questions requiring legal review
5. Website, event and QR lead capture
Coordinate with ECOMPLIX so that website and event forms route into Klaviyo with the correct fields and source information.
This includes support for:
- VIP or collector-list registration
- General email registration
- Original-art inquiries
- Consultation requests
- Print interest
- Artwork-specific QR journeys
- General Tampa QR capture
- Tampa landing-page leads
- Future Miami/Art Basel lead capture
- Each test lead should arrive in Klaviyo with enough information to identify:
- Where the person came from
- Which event, QR code, page or campaign generated the lead
- Which artwork or product interested them, when applicable
- Whether they are interested in prints, originals or general updates
- Whether valid marketing consent was provided
- Which follow-up experience they should receive
6. Meta and Instagram Lead Ads readiness
Configure and test Klaviyo’s Meta Ads integration so that future Facebook and Instagram lead-form submissions can enter Klaviyo correctly.
The setup should include:
- Connection to the appropriate client-owned Meta business assets
- Lead-form field mapping
- Email-consent mapping
- Source, campaign, ad, platform and form identification where available
- Duplicate-profile handling
- Appropriate segmentation
- Automated follow-up routing
- At least one end-to-end test submission
- Documentation of the final configuration
- Experience with Meta Instant Forms and website handoff journeys is strongly preferred.
This scope includes CRM integration and testing. It does not include paid-media strategy, campaign creative, audience development, media buying, campaign management or advertising spend unless separately proposed and approved.
7. Core lifecycle automation
Build and test the essential Phase 1 flows required to make the CRM useful immediately.
At minimum, please evaluate and implement the appropriate versions of:
- New subscriber or VIP welcome flow
- Tampa event-lead follow-up
- Original-art inquiry acknowledgement and internal notification
- Collector or consultation follow-up
- Print-interest follow-up
- Post-purchase communication
- Abandoned-cart or abandoned-checkout recovery
- Customer thank-you and relationship-development flow
- Miami/Art Basel interest capture or holding flow
- The exact number and sequence of flows should be finalized during discovery based on timeline, available content and business needs.
The specialist should implement the automation logic, segmentation, triggers, testing and basic email structure. Art of Yost will provide approved brand and artwork information. Please identify any additional copy or creative assets needed as early as possible.
8. Long-term CRM roadmap
The Phase 1 implementation must create a foundation that can support future capabilities without requiring the account to be rebuilt.
Please provide recommendations for the next stage, including:
- More advanced collector nurturing
- Customer and collector lifecycle development
- Re-engagement and win-back
- Repeat-purchase strategy
- Product and artwork-interest personalization
- Lead prioritization or scoring
- SMS readiness and compliance
- Broader promotional and editorial email planning

Not every advanced feature must be fully implemented before Tampa. However, the data structure, naming conventions and consent framework should support these capabilities later.
Any recommended work beyond the agreed Phase 1 deliverables should be clearly identified and separately priced before execution.
9. Testing and validation
The selected specialist must participate in end-to-end testing with ECOMPLIX and the analytics specialist.
Testing should confirm:
- Forms submit successfully
- Profiles are created or updated correctly
- Duplicate records are handled appropriately
- Consent is recorded accurately
- Source and artwork information pass correctly
- Lists and segments update correctly
- Internal notifications reach the correct owner
- Automated emails trigger as intended
- Unsubscribe and suppression functions work
- Shopify customer and purchase activity syncs properly
- Meta lead-form submissions enter Klaviyo correctly
- Mobile and event journeys work on real devices
The specialist should participate in the October 8–10 integrated dry run and complete agreed Tampa-critical corrections within the project schedule.
10. Documentation and handoff
Provide practical documentation covering:
