Notion AI Agent Refinement for Project Management

We use Notion for project management of deals (business sales and acquisitions) each with a set of unique documents. I have started building a Notion Agent to read emails and update our Task page based on the context of those emails and simply don't have enough time to see it to completion.

Key features already built in:

- Doesn't change old text entries

- Can change status to show it's with certain individuals based on context

- Triggers when a label is applied which is rule base or manual based on circumstances

Problems it has:

- Adds updates to wrong document or wrong project

- Doesn't add updates when multiple emails sent and it gets confused

- Adding multiple date entires for same day as separate lines (will fix this over weekend)

I have a good base start, but there's some need for refinement in its instructions as it's having errors and I have some input as to how we can make things better and/or restructure our existing task page. Extensive experience working in Notion is a must in order to complete the agent build out. One key metric we must have is the agent be cost efficient. I have built one layer into the agent already using gmail labels to curb the agent reading every single email, but the cost thus far to build is nominal however burn rate on credits is fast.
