Position Overview
A respected wealth management and financial services firm is seeking an Administrative Assistant to support Investment Advisors and provide excellent service to clients. This position plays a key role in keeping the office organized, ensuring paperwork is processed accurately, and helping advisors maintain strong client relationships.

This is an excellent opportunity for someone who enjoys a professional office environment, values stability, and takes pride in being dependable and detail-oriented.

Key Responsibilities
  • Prepare client correspondence as directed by Investment Advisors
  • Communicate professionally with clients via phone, email, and in person
  • Prepare and process client paperwork based on advisor and client instructions
  • Submit completed paperwork and required documentation to the Operations team
  • Assist with insurance-related paperwork and processing
  • Coordinate and schedule client meetings for Investment Advisors
  • Serve as backup receptionist when needed
  • Maintain accurate records and support office organization
  • Assist with additional administrative projects and duties as assigned

Qualifications
  • High school diploma or equivalent required
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Professional and client-focused demeanor
  • Exceptional attention to detail
  • Ability to prioritize responsibilities and work independently
  • Willingness to learn new systems and processes

Technical Skills
  • Microsoft Outlook
  • Microsoft Word
  • Microsoft Excel
  • Adobe Acrobat or Foxit PhantomPDF
  • General office technology and administrative software

Ideal Candidate
  • Enjoys working in a professional office environment
  • Takes pride in accuracy, organization, and customer service
  • Comfortable with periods of independent work
  • Able to stay productive and engaged during slower periods
  • Looking for a stable, long-term opportunity rather than a fast-paced career ladder
  • Values consistency, reliability, and work-life balance

What to Expect This is a traditional administrative support role. Workloads can vary throughout the day, with some periods being busier than others. The right candidate will be comfortable with a steady office environment, handling administrative tasks as they arise, and remaining available to support advisors and clients when needed.

To be transparent, this is somewhat of a "what you see is what you get" opportunity. The position offers a professional atmosphere, strong benefits, bonus potential, and long-term stability, but it is not structured for rapid advancement. The team is seeking someone who appreciates predictable expectations, enjoys supporting others, and is looking for a long-term home rather than the next step on a management track.

Why Join This Team? Join a respected financial services organization where professionalism, attention to detail, and client service are highly valued. You'll enjoy a supportive office environment, competitive benefits, bonus opportunities, gym membership reimbursement, and the opportunity to build a lasting career with a well-established local firm.

Several years ago, I was working in a team to plan a big event. My supervisor made us all work as a team before the big day. One of our activities has been to find out how each of us processes information...

6. HOW DO YOU MANAGE THE CALENDAR AND THE PROGRAM? WHICH APPLICATIONS / SYSTEM DO YOU USE?

10. HOW DO YOU USE TECHNOLOGY ON A DAILY BASIS, IN YOUR WORK AND FOR YOUR PLEASURE?
